If you need to select multiple emails in Gmail all at once, whether to mass-delete them, mass-archive them, or move them en-masse to a new label, keyboard shortcuts will be your new best friend. Of course, if you only have, say, five to select, it would be faster just clicking or tapping each one. But if you have twenty emails? Thirty? Then there’s a faster way to select them all.

To select multiple emails in Gmail mobile, you can only long-press on the first email, and then individually tap the others. There are no keyboard shortcuts to choose lots of emails simultaneously. So for selecting large amounts of emails, go to the desktop, where you can use the shift key and your mouse/trackpad.

If you’re on the Gmail app for either Android or iOS, selecting multiple emails comes down to only using your finger. Long-press the first email, and when a tick appears on the left, tap the other ones you want to select. You can then press the icons at the top to archive them, bin them, or hit the More menu to add a label to them.

The desktop version of Gmail is where you can select larger numbers of emails, using desktop shortcuts. You can either select all the ones visible on the screen, or select emails based on a certain label, Gmail status, or keyword.

Start by getting the emails you want to select up on the screen. You can search in the Gmail search box by keyword, click a label on the left-hand side, or select emails based on what status they are in Gmail.

Or use a keyboard shortcut to bring up one of these Gmail statuses.

  • All: keyboard shortcut *a
  • None: keyboard shortcut *n
  • Read: keyboard shortcut *r
  • Unread: keyboard shortcut *u
  • Starred: keyboard shortcut *s
  • Unstarred: keyboard shortcut *t

You can also choose a label, to have all emails matching that label come up.

Once you have the selected emails on the screen, you can first select them all, if you wish. To do this, tick the box at the top-left,  next to Refresh. This immediately highlights everything on the page. It will then show a link asking if you want to select all the emails matching your selection. Click that to select everything.

If you have everything on the page highlighted, but you wish to deselect an email (or more), just tick the box to the left of the email you wish to deselect. It will then highlight the rest, but not the one you just chose.

Another way to highlight and select emails on the Gmail page is to click the tick box for the first email (usually the one at the very top).

Now, holding the shift key on your keyboard, click the last email on the page you want to select. Doing this will make everything in between automatically highlighted.

Whichever way you do it, once you have the selected emails ready on the screen, options will appear at the top of the email window.

  • Archive, or keyboard shortcut e
  • Mark as spam, or keyboard shortcut !
  • Delete, or keyboard shortcut #
  • Mark as unread, or keyboard shortcut U
  • Snooze, or keyboard shortcut b
  • Add to tasks, or keyboard shortcut T
  • Move to, or keyboard shortcut v
  • Labels, or keyboard shortcut l

There’s also the More menu (the keyboard shortcut to open it is a full stop). There, you’ll find further options for your selected emails.

I tend to collect email like some might collect Star Wars action figures. OK, that’s not a perfect analogy because mostly I collect email because I think I might need it later, but never do. That generally equates to me having way too many emails sitting in my inbox, most of which I’ve read and don’t need anymore.

And that can cause problems, especially in the Gmail mobile application. When you have thousands (or tens of thousands) of emails, the Gmail app search function can get bogged down. Because of that, I tend to go eliminate the problem every few months (or every year, when I get too busy and forget the whole “every few months” thing).

The problem with the Gmail app is there’s no easy way to do a mass delete. Even when you try with the web-based version, you’ll find you can only select 100 emails at a time. When your inbox is overflowing, that’s not a good enough option.

So, what do you do? I’m going to show you a handy trick for mass deletion. Unfortunately, this only works on web-based Gmail. The good news is that your mobile Gmail app will thank you for taking care of this.

What you’ll need

The only thing you need is a Google account. Of course, you’ll also need an inbox filled with previously read emails that you don’t need to keep. That’s important here: If you have certain emails that you need to keep, either mark them as unread or move them to another folder, otherwise they will be deleted.

How to mass delete in Gmail

Open Gmail and type is:read in the search bar. At this point, you should only see those emails you have already read (or at least the first 100). With your read email on display, check the box (Figure A) to select all of the messages.

If you have a ton of unread messages, you will have only selected the first 100 (because… Google). To select all of those unread messages, you must click the Select All Conversations That Match This Search link (Figure B). Note: This link will only appear if you have more than 100 unread messages.

Make sure to select all of your read emails (not just the first 100).

One word of warning: If you see an email listed (after selecting all unread emails) that you don’t want to be deleted, if you uncheck it you will revert the Select all conversations that match this search option. In other words, you need to make sure you’ve collected those read emails you want to save into a different folder (or marked them as unread) before going through this. Now, we need to delete all of those read emails by clicking the Trash icon (Figure C).

After clicking the Trash icon, you’ll be prompted to OK the bulk delete of the read email. Click OK and every one of those read emails will be sent to the trash. Depending on how many read emails you are deleting, this can take some time. In the end, you’ll have a much cleaner Gmail inbox.
